Western Private Hospital, located in Footscray, is a 62-bed private acute hospital and is the longest serving private hospital in Melbourne’s west providing much needed services to the people in the expanding North West and Western regions of Melbourne and surrounding areas.
WPH’s facilities include four Operating Theatres, CSSD, Day Procedure Unit, Day Oncology Unit, Overnight Ward for CCU, HDU & Surgical patients, Cardiac Catheter Laboratory, Specialist Consulting Suites, PET Centre/Nuclear Medicine and supported by pathology, pharmacy, radiology and radiation therapy services.
About the Role
We have an opportunity for a highly motivated and experienced medical administrator to join Western Private Hospital. The role is responsible for providing reception, bookings and administrative support to the Nuclear Medicine / PET Centre team to provide excellent patient care and oncology imaging services to Western Victoria.
You are the first point of contact at the PET Centre, responsible for –
- ensuring patients feel comfortable and are clear on the process of their visit
- providing exceptional customer service to referrers
- ensuring all patient information is up-to-date and accurately recorded
- billing patient accounts and submitting online claims to Medicare
- report distribution and liaising with other imaging/pathology providers to source outside reports
- (with training) handling referrals and scheduling bookings
Working as part of a job sharing arrangement across Monday to Friday with working hours ranging between 8am-6pm. Minimum 3 days/week with some weeks requiring more days during increased activity and to cover leave.

You are able to handle the fast pace and multiple demands of this position by being able to prioritise tasks appropriately with a positive attitude and strong work ethic.
You are able to work autonomously with minimal supervision.
You have a genuine interest in expanding your knowledge.
Selection Criteria
- Personable and patient friendly with an empathic and attentive personality
- Previous medical &/or radiology administration experience would be highly regarded but ongoing training is happily provided to enthusiastic candidates
- Demonstrated high attention to detail and able to follow work procedures and processes
- Willingness and ability to learn and complete new tasks and the flexibility to embrace changes
- Sound knowledge of medical terminology (or enthusiasm to learn)
- Excellent time management skills & the ability to prioritise workload under pressure
- High level professional, efficient and effective communication and interpersonal skills
- Very strong computer literacy skills using Word, Excel, Outlook (monitoring multiple email inboxes)
- Medical software experience, including proficiency with patient management systems such as WebPAS and Genie, as well as a Radiology Information System (RIS) such as Karisma, Promedicus, CRIS or other similar systems is highly desirable
